The Program Executive Specialist supports the Cooperative Threat Reduction (CTR) Program or the Partnership Capacity & On-Site Inspection Directorate (PI) CT Director and Sr. Operations Manager at the Defense Threat Reduction Agency (DTRA).
Provides onsite subject matter expertise in office administration, task tracking, and quality control in a deadline-driven, fast-paced environment.
Specific duties of the Program Executive Specialist include:
Perform editorial reviews of correspondence packages for spelling, grammar, accuracy; ensure document formats comply with DTRA Writing Guidelines and the DoD Correspondence Manual.
Route correspondence packages for leadership review and approval.
Maintain Outlook calendars for program leadership, coordinate meeting requests, reserve conference rooms, send invites, and resolve schedule conflicts.
Coordinate weekly program meetings, prepare and organize materials, and run slide presentations.
Maintain program recall and phone rosters and organization charts
Adhere to records management guidelines for hardcopy and electronic files.
Update and distribute Leadership Trackers, Travel Forecasts, and Trip Reports.
Perform routine clerical functions, such as copying and maintaining supplies.
Communicate and collaborate with other administrative staff to promote a team environment.
Possess good oral and written communication skills
Possess ability to work independently, take initiative, and prioritize multiple tasks.
Experience in administrative support in a fast-paced, team-oriented client office with competing and changing priorities.
Experience of proofreading and editing documents with a high level of accuracy.
Experience of Government contracting and role of the contractor.
Experience of best practices for handling Personally Identifiable Information (PII).
